Happy November!

Did you remember to turn your clocks back, and change the batteries in your smoke detectors? Got your yard all ready for the upcoming winter? Perhaps you're getting ready for hunting season?

How about reviewing your finances? With the end of the year just around the corner, reviewing your financial position is essential in keeping your tax burden at the legal minimum. If you’re expecting a large tax bill, what can you do now to minimize it? Can you make extra charitable contributions, purchase capital assets, or make capital improvements to take advantage of special depreciation deductions?

If you have a small business, or are a single-member LLC, are you going to meet your tax obligations so as to avoid any fees or penalties?

This is something I’m looking at for the first time, having just started my LLC last year. Consult your tax accountant to help you with these decisions – they are your best resource in managing your tax burden.

September – Summer Coming to an End!

The kids are going back to school, and our laid-back summer routines are going back to the school year routine.

You may no longer have kids in school, but the change of seasons is just around the corner. Football has started, as evidenced by the Packer Fever here in Green Bay.

Last month I had asked for suggestions on how you think outside the box to celebrate the end of another summer. Some responses received were:

• Go on a hot air balloon ride

• Skydiving

• Kayak the Pictured Rocks shoreline

• Go to the Kentucky Derby

• Try a zip line

There are all sorts of fun things to do, but any particular things to add into your daily life?

One person is going back to school, first time ever in college, to better himself. That takes guts! I’m impressed; to go back to school while having children in school, a full time job and a family & household to take care of.

Anyone embarking on a new career path? Have you decided that the job you’re in really isn’t you, and that it’s time to shift gears and find your joy; to find a new challenge?

Even if you’re not making a drastic change, little changes to keep your job fresh can be done each day. Try putting up a new picture in your office, maybe a new screen saver on your computer; to remind you of a wonderful time you’ve had. Or even something as simple as using a bright coffee cup for your morning coffee, can help you start your day with a smile.

I have decided to try to find joy as often as possible. Even challenges can be a starting point of something new and exciting. I have been making a conscious effort to begin each day with a positive attitude – along with a bright, smiley face coffee mug!

While it's an adventure of a different sort, perhaps you've decided to tackle your books -- your financial books, that is.  If so, I am ready to help!

Thinking Outside the Box

Where did July go? It feels like it was just Independence Day; how did so much of the summer go by already?

With about a month remaining of summer, what are you going to do to celebrate? Hit a water park; Wisconsin Dells maybe? Go on vacation, enjoy a beach or boat? Go fishing, camping?

If you could do anything to celebrate summer, what would it be?

We are doing something different that we normally do; going to Road America for an auto race. After fishing and enjoying a lake, we have decided to think outside the box, so to speak.

How do you think outside the box in your daily life? Have you ever thought of starting that business, but don’t know where or how to start? Or, maybe you’ve been thinking of expanding your current business, but you’re not sure if now is the right time?

Actually, maybe now is the time to take the plunge and go for it!

I took that plunge a year ago in June, and have not regretted my decision for a moment. It was the right decision for me, and maybe now is your time. Speaking with your accountant may help you come up with a workable business and financial plan; to take the plunge and be confident that now is your time.

Make 2015 the year to declare your independence from debt!

Do you have any debt you’d like to pay off this year?

Is there an emergency or educational fund you’d like to build up?

Begin by finding your “money leaks,” and plugging them; putting your goals first.

Here are a few tips to begin your path to financial independence:

• Track your expenses, every dollar you spend, to see where you can easily cut.

• Review your monthly recurring expenses: Do you still need all those TV channels, or that gym membership? Any that can be cut without noticing?

• What is your grocery expense? Are you tossing out a lot of food each week? Track what you purchase, vs. what you consume; and adjust to reduce waste.

• Do you spend too much eating out? Planning meals to eat at home can save a lot of money, while making you healthier. Hello grilling season!

• Are you behind on any payments? Credit Card companies can be negotiated with to reduce your interest rates, and make a payment plan to get back on track.

Next step is to use your savings to reduce debt, then begin building up an emergency fund that covers three to six months of living expenses. Once you have this done start on an educational fund for your children, if needed, but don’t forget your retirement fund! You can always borrow for school, but borrowing for retirement isn’t quite as easy.

Spring Cleaning Tips from "Business Solutions by J"

How’s your spring cleaning going? Have your house sparkling and ready for summer? While doing this, you should also spring clean your business files. This will help keep clutter to a more reasonable level; while ensuring you have everything you will need for a healthy financial life.

The following is from the IRS website, standard retention guidelines for small businesses:

Period of Limitations that apply to income tax returns:

1. Keep records for 3 years if situations (4), (5), and (6) below do not apply to you.

2. Keep records for 3 years from the date you filed your original return or 2 years from the date you paid the tax, whichever is later, if you file a claim for credit or refund after you file your return.

3. Keep records for 7 years if you file a claim for a loss from worthless securities or bad debt deduction.

4. Keep records for 6 years if you do not report income that you should report, and it is more than 25% of the gross income shown on your return.

5. Keep records indefinitely if you do not file a return.

6. Keep records indefinitely if you file a fraudulent return.

7. Keep employment tax records for at least 4 years after the date that the tax becomes due or is paid, whichever is later.

Use your best judgement in cleaning out your files. Many banks can now provide you with electronic bank statements, which can free up some file space. Keep these on an external drive; one that you keep in your safe for extra peace of mind.

Another spring cleaning item – Look at the documents you’ve saved on your computer. Can you find what you need? Create folders by topic; to organize your files. This saves you time and makes you more efficient.

A Solution for Victory

If you're a Hockey Fan, you may know that the Green Bay Dragons, won the WCHL Blue Division Championship last year.  

If you've ever played Hockey, or -- for that matter -- any competitive sport, you know that winning doesn't happen by chance.  Winning in sports, in business, in any of life's endeavors, is the fruit of preparation, practice, planning, and following through.  

The Green Bay Dragons had a blast playing teams from various cities in Illinois and Wisconsin, even though it was also hard work.  When we put the proper effort into things, we can enjoy the victories all the more.

Business Owners: Keeping it All in Balance

Now that you have organized your paperwork, it’s time to straighten out one of the most important documents – your balance sheet.

Your balance sheet is a snap shot of your financial position. It shows all you own, and all that you owe, along with the equity in your business.

Some important things listed are:

• Cash and cash account balances

• Accounts Receivables

• Inventory

• Capital Assets

• Accounts Payable

• Notes Payable

• Owner’s Equity

o This includes any paid-in capital

This is VERY important to keep current. You can do several analytics on this information; including making sure your customers are paying you in a timely manner.

When you are in need of financing, bankers look long and hard at your balance sheet.

Remember: Tying out all balance sheet accounts monthly is a must.

2014 is behind us ~ Make it a Happy 2015!

Along with having all your taxes filed and taken care of, make a “New Year’s” Resolution to keep all your accounting organized. Year end, and tax season are so much easier when you have kept all records organized and up to date throughout the entire year; instead of trying to compile everything at one time. If you need help with this, Jaylene Aho, of Business Solutions by J is available to put the best system in place: One that works for you. She is also able to manage this system for you throughout the year.

Whether you have QuickBooks, or another accounting software package to help you with your accounting needs, it only works you if you know how to use it. If you think the software can do everything for you, you may be in for a surprise when filing your quarterly and/or yearly taxes. As Jaylene reminds us: “These packages are great, don’t get me wrong, but I recently read an article explaining how dangerous it can be to use one without proper accounting knowledge.”

Accidentally misclassifying expenses and/or payments can cause huge headaches. If you don’t understand how it all works together, you may inadvertently double up expenses, or short your sales income. When making a payment on something you owe, if you classify it incorrectly this can easily cause it to be doubled. This will not only throw your Income Statement off, but also your Balance Sheet. Bankers look at both of these statements to assess possible financing options.

Some Tax-Timely Reminders from Business Solutions by J

For individuals and businesses alike, tax time can be quite – well; TAXING! Fortunately, there are well trained experts, such as Jaylene Aho, of Business Solutions by J, who are ready to help. Jaylene has some tax-timely reminders that may prove helpful to your business:

2014 has come to a close and it’s time to make sure all is complete. While it’s important to make sure your books are balanced and ready for income tax preparation, it’s also important to have your non-income taxes paid, and all quarterly and annual filings paid and filed.

Before filing the following returns, make sure everything you’re filing balances to what you’re reporting on your business books and returns. All payroll taxes should balance – take all four quarters and make sure all withholdings and employer tax liability match the W-2s you’re sending out.

If you don’t have employees, you need to make sure your quarterly estimates are paid.

Regardless of having employees, you need to file any 1099s for any non-corporation sub-contractors you paid for services rendered that were paid $600 or more during the calendar year. Attorneys get 1099-Ms for any amount you paid during 2014, even if less than $600. 1099-Is also need to be sent out for any interest paid.
If you do have employees, payroll taxes will need to be paid and filings submitted. W-2s need to be sent out to all employees by the end of January, as well as submitted to the Social Security Administration. Federal Unemployment Tax 940 annual filing needs to be filed, as well as any balance due paid with it. State Unemployment Tax UC-101 annual filing also needs to be submitted.

Federal withholding, and FICA withholding should have been paid under your normal deposit schedule, but your 4th quarter 941 return needs to be filed. State withholding also should have been paid throughout the year, but you need to file your annual WT-7 to reconcile the amount paid versus what’s reported on your employees' W-2s.
